Record submissions and follow up on publication
Record real submission progress, keep dated follow-up notes and save the confirmed published page for monitoring.
GET READY
Before you begin
Keep the destination confirmation or review information after a real submission attempt. If you are only planning the work, use a planned submission date rather than marking the task submitted.
Open the task record
Open the destination task in Plan and check the website, Current status and Submission date. Use Record submission for a first attempt or Record follow-up after submission. After confirming publication and saving its URL, you can open the resulting link in Backlink management. Work on the existing task rather than creating another record for the same attempt.
Choose a status supported by the evidence
Use To submit or Preparing while working on the materials. Choose Submitted after completing the actual attempt, Under review when a decision is pending, Live only after confirming publication, and Rejected when the destination has declined it. Skipped records a decision not to pursue the task. A scheduled date or confirmed draft is not evidence of submission.
Record dates and useful notes
Check the dates offered in the progress dialog and enter the actual submission information. A planned submission date is optional and only schedules the work. Record confirmation details, requested changes and your next action in Work notes or Notes for this follow-up. Save progress or Save follow-up and wait for Publication progress updated before leaving.
Follow up against the recorded review window
Read Suggested follow-up date in the task. It is derived from the submission date and recorded review window, so treat it as guidance rather than a promised publishing date. If Review time unknown is shown, consult the destination’s confirmation and policies. When you check for a decision or supply requested corrections, record the new status and note; saved follow-ups appear in Follow-up history.
Save the confirmed published page
Open the actual result and confirm it belongs to your website. Paste its complete address into Final published URL, then select Live and save. The dialog requires a URL for a published record. Use the individual listing or article address rather than the destination homepage, a form page or a private review dashboard. A saved URL still needs inspection to establish whether the page includes a clickable backlink.
Review the result in Backlink management
After saving a published result, open its backlink record and inspect the saved URL and check details. Pending review and submission follow-up remain in Plan. If a submission is rejected, keep that outcome and the reason instead of marking it live. Correct an inaccurate URL or status with Update record. Publication progress and automated link checks are separate: a live record can still have a missing link or a limited check.
DECISION REFERENCE
Choose the status that matches the evidence
Use this reference alongside the recorded requirements and evidence for your destination. Check uncertain details before acting.
| Signal | What to read | How to use it |
|---|---|---|
| To submit / Preparing | Materials or form preparation is underway. | Keep a planned date and work notes without recording an attempt that has not happened. |
| Submitted | The submission attempt was completed. | Keep its actual date and confirmation; publication may still be pending. |
| Under review | A platform decision is outstanding. | Record the review information and check back according to its stated process. |
| Live | The individual result page is confirmed published. | Save Final published URL and inspect the page and target link. |
| Rejected / Skipped | The platform declined it, or you chose not to continue. | Record the reason and decide whether revision or another destination is appropriate. |
| Follow-up history | A dated update was saved to the record. | Keep each update factual so later checks can be understood. |
EXPECTED RESULT
Check your result
The task has an accurate state, dates and useful follow-up notes. A Live record includes the correct public result URL; a pending or rejected submission keeps its actual outcome. The saved follow-up is visible in the record history.
WHEN YOU NEED HELP
Common questions
Should I mark a submitted form as Live?
No. A successful form submission confirms an attempt. Confirm the individual result page before selecting Live.
Why does Live require a URL?
The published record needs the actual result address for later inspection and monitoring. Find the individual listing or article, not the destination homepage.
Is the suggested follow-up date a deadline?
No. It is guidance based on the recorded review window and submission date. Check the destination’s current instructions and keep unknown review times explicit.
What should I put in a follow-up note?
Record what you checked, the response or requested correction, and the next action. Do not put passwords, access tokens or private customer information in the note.
Where are previous updates?
Open Record follow-up and inspect Follow-up history. The current follow-up appears after saving successfully.
What if the submission is rejected?
Select Rejected and keep the reason. Review whether a factual correction or another relevant destination is appropriate; do not record a rejected attempt as publication.
What if saving fails?
Read the error, retain your notes and retry when the problem is resolved. Confirm Publication progress updated before assuming the record was saved.
Does a Live record mean its backlink is healthy?
No. Publication progress, page availability, target-link presence and indexability are separate signals. Inspect the monitoring evidence.
